Privacy notice

This notice explains how SalesCollab ("we") processes personal information when you use the AssetTrack platform. It is written to satisfy the South African Protection of Personal Information Act, 2013 ("POPIA") and the EU General Data Protection Regulation ("GDPR").
1. Responsible party / controller
SalesCollab, South Africa. info@salescollabassettrack.co.za. For data processed on behalf of a customer organisation, that organisation is the responsible party / controller and we act as operator / processor — see our DPA.
2. Information we collect
- Account data: name, work email, organisation, role.
- Asset and operational data: records you create about devices, employees, sites, jobs.
- Billing data: processed by Paystack; we store only references and last-four card digits.
- Technical data: IP address, browser, log events, error reports.
- Cookies: see section 8.
3. Why we process it
- To provide the Service and authenticate you (contract).
- To bill subscriptions (contract).
- To secure the platform, prevent fraud, comply with law (legitimate interest / legal obligation).
- To send service announcements (legitimate interest).
- Optional analytics and marketing only with your consent.
4. Sharing
We share personal information only with:
- infrastructure providers (Supabase, Cloudflare) hosting the platform;
- Paystack for payment processing;
- email delivery providers for transactional mail;
- authorities where legally compelled.
5. International transfers
Some providers process data outside South Africa or the EU. We rely on appropriate safeguards (Standard Contractual Clauses, adequacy decisions, or POPIA §72 grounds) for these transfers.
6. Retention
We keep customer data for as long as your account is active. On termination we delete or anonymise personal information within 90 days unless we must retain it to comply with law.
7. Your rights
You may request access, correction, deletion, restriction, portability and to object to processing. EU residents may lodge a complaint with their supervisory authority; South African residents with the Information Regulator (inforegulator.org.za). Email info@salescollabassettrack.co.za to exercise rights.
8. Cookies
We use strictly necessary cookies for authentication and security; these do not require consent. Analytics or marketing cookies are only set after you accept them via the cookie banner. You can change preferences at any time by clearing site data or reopening the banner from the footer.
9. Security
We use encryption in transit, role-based access control, row-level security in our database, audit logging and routine security scans. No system is perfectly secure; notify us immediately if you suspect compromise.
10. Changes
We may update this notice. Material changes will be announced in-app or by email.
