The walk-the-floor audit, reimagined

Traditional asset audits start with a printed register, end with three columns of red ink and produce a list of 'where did this go?' tickets that take weeks to clear. AssetTrack's audit session is a mobile flow: open the session, scan the QR or NFC tag on each asset, confirm the custodian and condition with a signature. Each scan timestamps and (optionally) GPS-pins the asset in real time.

When the session closes, you get three lists: assets confirmed in place, assets scanned but in the wrong location or with a different custodian, and assets that weren't scanned at all. The exceptions are the audit — not the whole register.

Signed exceptions and a defensible audit trail

When an auditor finds a laptop where the register says a different one should be, they don't email the IT manager — they update the custodian on the spot, capture a signature, and the chain-of-custody log records the move as part of the audit session. The next time external audit asks 'where did this asset go between 14 March and the year-end?', the answer is one click, with the signature.

From annual to continuous

Most teams move from one big annual audit to rolling per-floor or per-cost-centre audits once the friction drops. AssetTrack tracks 'last seen in audit' per asset, so the dashboard shows risk by recency — anything not scanned in 6+ months gets flagged on the AI governance insights page automatically.

Frequently asked questions

Do I need a barcode scanner gun, or will a phone work?

A phone. The audit app uses the built-in camera for QR scanning and the device's NFC reader (on supported phones) for tap-to-confirm. No dedicated hardware required.

What if the warehouse has no signal?

The audit PWA works offline. Scans queue locally and sync when the device next sees Wi-Fi or cellular — the auditor doesn't notice the difference.

Can two auditors run the same session?

Yes. Sessions support multiple participants concurrently. Each scan attributes to the person who made it, and conflicts (two people scanning the same asset) resolve to last-write-wins with a visible audit trail.

Can I run audits per location or per cost centre instead of org-wide?

Yes. Sessions scope to a location, custodian, cost centre or custom tag. A per-floor monthly audit cycle is a common pattern.

What evidence do I get for external audit?

Each session exports as a CSV with one row per scanned asset: timestamp, scanner identity, GPS coordinate, confirmed custodian, condition, signature reference and photo. The chain-of-custody log links to the original audit session for every reassignment.
