Why 'they emailed me' isn't a chain of custody

When a laptop walks out the door with a leaver, the gap between 'IT thinks it's still assigned' and 'the laptop is actually gone' is where 80% of asset register drift happens. Email confirmations don't close that gap — they create a parallel record that nobody reconciles back.

AssetTrack closes the gap with a signed handover. Issuing or returning an asset captures the recipient's on-screen signature, an optional GPS pin and a timestamped photo of the asset's condition. The signature attaches to the asset record and to the recipient's employee profile. There is one record, in one place, that both parties can produce.

Linear possession history

An asset can only be assigned to one person at a time. To reassign it, the current holder has to return it first — there is no way to silently overwrite a custodian. That single rule means the assignment log is a true linear history: at any past moment, you can answer 'who had this device on that date?' with a name and a signature.

Built for HR, compliance and the leaver process

When a leaver is processed, HR can hand IT a single list: 'these assets are still assigned, get them back before final pay.' Each asset on the list has the original handover signature, so if anything is missing, the conversation is grounded in a document the employee signed — not a recollection.
